1. Cancellation Requests
All cancellations must be submitted in writing via email to the conference secretary at finance@vartusgroup.org.
2. Refund Eligibility
- Cancellations made 90 days or more before the conference start date are eligible for a full refund, less a processing fee of USD $100 (or INR equivalent).
- Cancellations made within 90 days of the conference start date are non-refundable, but the registration fee can be transferred to a future edition of the conference.
3. Transfer of Registration
- Registrations are transferable until December 15, 2025
- After this date, no transfer requests will be accepted.
4. Refund Timeline
- Approved refunds will be processed and issued in the second week after the completion of the conference.
5. Force Majeure Clause
The Refund/Cancellation Policy does not apply if the conference is postponed or canceled due to unforeseen circumstances beyond the control of the organizers. These include, but are not limited to:
- Natural disasters
- Acts of terrorism
- Industrial disputes
- Sabotage, accidents, or strikes
- Government restrictions or hostilities
In such cases, the organizer will provide an opportunity for the registered participants to transfer their registration fee and accommodation charges to any future edition of the same or related conference.
